Purchase Receipt

A purchase receipt records stock physically arriving from a supplier. It is separate from the purchase invoice, which records what you owe.

The purchase receipt list

When goods arrive before the bill does, submitting the receipt increases stock and posts the value to Stock Received But Not Billed, a liability. When the purchase invoice is later submitted, that balance clears into the supplier’s payable.

This keeps stock accurate from the moment goods arrive, without pretending you have been invoiced.

Pick the supplier, the receiving location, and the items and quantities received. Submitting updates stock on hand and the stock ledger.
